OUR CLIENT, an expanding Property Management firm with over £3 Billion worth of assets under management in the UK and USA covering Commercial and Residential properties, are looking for a Senior Property Manager to assist the Management Team.

 

THE ROLE: Reporting to the Area Manager, Deputy Area Manager, you will be responsible for the efficient and effective management of a designated commercial property portfolio with duties which will include but not limited to the following: 

  • Preparing reports for the Board as outlined or requested.
  • To put forward recommendations and obtain instructions on matters concerning the effective management of the let portfolio.
  • Managing/ prioritising risks and liabilities at all times.
  • Preparing and collating reports for the Board, Senior Management.
  • Managing rent reviews, lease renewals, break clauses and lease expiry dates.
  • Maintaining good Landlord and Tenant relationships.
  • Understand the various types of interest/ tenures that the Group hold.
  • Manage existing and new lettings.
  • Read and interpret leases to ensure that the portfolio is managed in accordance with the provisions.
  • Instruct approved agents/ consultant surveyors to provide marketing/ valuation advice and seek suitable tenants.
  • Undertake, review and interpret tenant reference reports, in accordance with the Group's policies and procedures.
  • Instruct solicitors to prepare leases and draft specific clauses e.g. rent reviews.
  • Undertake and negotiate rent reviews and lease renewals in conjunction with Consultant Surveyors.
  • Manage interim schedules of dilapidations and schedules of condition in conjunction with Regional Executive/ Consultant Surveyors.
  • Handling Licences to Alter, Deeds of Variation and lease assignments.
  • Servicing section 25 and 26 notices.
  • Ensuring that utility supplies are managed during the end of tenancy and new letting process.
  • Liaising with Block and Estate Management colleagues where appropriate in respect of issues that concern both the residential and commercial portfolio.
  • Deal with disputes/ breaches of lease in a proactive way.
  • Assist with Arbitration matters in conjunction with Consultant Surveyors.
  • Ensure all statutory obligations, in respect of the portfolio, are adhered to at all times
  • Handling reactive maintenance issues promptly to ensure that the Group does not find itself in breach of its repairing obligations.
  • Seeking to put in place planned maintenance plans where appropriate.
  • Working with the Regional Surveyor to identify and implement 'major works' projects.
  • Preparing reports for Major Works Committee.
  • Ensuring that H&S is constantly reviewed.
  • Managing H&S across the designated portfolio and handling any actions arising in a timely fashion.
  • Reviewing statutory inspection reports and handling any remedial works/ recommendations in a commercially focused manner.
  • Preparing Service Charge Budgets (where applicable) in a timely fashion and monitoring expenditure, throughout the course of the financial year, to ensure it is within budget.
  • Setting Reserve Funds to ensure that major works can be undertaken, as planned and without significant increases for leaseholders or the group where tenders need to be re-invited.
  • Assisting with the preparation of end of year accounts and answering expenditure queries from external auditors, accounts and leaseholders.
  • Assisting and supporting the Area Managers.
  • Providing support and guidance to the team as required and requested.
  • Responsible for approval of Expenditure Authorisations, new lettings and lease renewals, service charge budgets and year end accounts in accordance with the Groups procedures.
  • HR duties.
  • Managing the Area Office.
  • Ensuring that the management of the wider portfolio and office-based tasks are covered whilst members of the team are on annual leave or absent from the office.
  • Review of service level agreements.

 

THE PERSON: To apply, you MUST a strong commercial background with experience dealing with all aspects of property management. It will be beneficial to have a degree level and an industry recognised relevant qualification. You should have sound working knowledge of Landlord and Tenant legislation, H&S legislation, RICS guidelines and other best practices applicable to commercial property management. The knowledge of property systems would be an advantage.
