Personal Assistant (PA) to Director-London

Our Client is an established property company located in Central London who have been involved in some of the most complex, prominent and significant developments across London. They are now looking for a Personal Assistant to work alongside the existing PA in a highly pressured and busy environment to support the main Director.


The Role: Reporting to the Managing Director, will involve the following:  

  • Filtering incoming post and electronic mail, and where necessary responding.
  • Word processing of letters, memos, agendas, minutes and reports, scanning documents, sending faxes and using the photocopier.
  • Extensive dairy Management for the MD using Outlook.
  • Arranging travel, obtaining all relevant paperwork for trips and providing itineraries.
  • Organising meetings and appointments, book venues, and where necessary making alternate arrangements.
  • Organising client hospitality and taking responsibility for large events such as the annual Christmas party.
  • Answering calls on behalf of the MD and recording all calls as required.
  • Handling telephone enquiries which may on occasion be of a confidential or urgent nature.
  • Ensuring all enquiries are responded to punctually and considerately, and that messages are recorded and delivered with the least possible delay.
  • Organising and setting up conference calls
  • Maintaining an effectual filing and record keeping system ensuring that items are easily reached.
  • Inputting of data and updating spreadsheets and databases.
  • Assisting in certain project / research work that may be necessary on an ad-hoc basis.
  • Attending meetings and taking minutes if required.
  • Ensuring the office runs efficiently and effectively.
  • Undertaking other related tasks as the MD or Senior Management team may find appropriate
  • Handling personal/family tasks.
  • Writing letters and emails from dictation.

 

The Person will have at least a couple of years’ experience in a similar role, supporting Managing Directors/CEOs/Chairmen (or similar). It would be preferred if the successful person has real estate experience though it is not a pre-requisite. Excellent IT knowledge and a typing speed of at least 60-65 words-per-minute is required. The successful candidate will have an excellent telephone manner, with a high level of attention to detail. Due to the fast paced nature of the role, the person must be energetic with a composed persona whilst simultaneously being able to listen to and follow instructions when given. It is essential that the candidate is well-spoken and well presented.
