OUR CLIENT are a property investor/owner company who develop properties across Central London. Due to the firm expanding, they have now appointed us to recruit a Property Administrator who will be a new asset to the team.

 

THE ROLE of the successful candidate for the Property Administrator role will assume the following responsibilities:

  • Maintaining Tenancy Schedules including comparison with External Managing Agents Schedules to identify and flag any anomalies.
  • Maintaining schedules of External Managing Agents KPI delivery to ensure compliance including e.g. Rent collection, Service charge reconciliation, Compliance and report compliance on a monthly basis to the Asset Management Team.
  • Working alongside the Property Manager and Campus Managers to follow up on arrears on a weekly basis, and to ensure debt is kept to a minimum across the board.
  • Updating and maintaining the internal tenancy schedules.
  • Tracking and updating new leases issued and registered with the external agents.
  • Preparing short form lease documents to the Companies standard templates, and working with the Property manager to ensure all renewals are dealt with in good time in advance of lease expiry.
  • Maintaining soft and hard copy filing, especially leases and associated documents.
  • Liaising with Centre Hosts Campus Managers over lease completions to ensure they are completed correctly by the members. Liaising with solicitors as required to ensure copy documents are obtained and passed to Managing agents as well as saved to our own systems.
  • Working with the Asset Management Team to track and file all third party instructions for Lettings, rent review, business rates dilapidations etc. keeping a note of agreed fees and costs.
  • Proactive chasing of external suppliers to assist the Asset Management Team.
  • Producing executive meeting minutes for the company together with investor companies.
  • Assisting and producing of the quarterly investor reports.
  • Liaising with insurers as required to ensure they are updated with portfolio changes.
  • Undertaking Land Registry searches as required.
  • Maintaining appropriate filing systems for the above, both physical and cloud based as appropriate.
  • Managing petty cash, preparing petty cash sheets and sending onto accounts department.
  • Updating and maintaining members contact database.
  • Making purchases of building supplies & furniture on behalf of Project teams from time to time.

 

THE PERSON to apply you must have previous Commercial Property/Management support experience and should have experience working in a similar role. The candidate should have the ability to handle tenants in a professional manner as well as have an understanding of customer service. You will have strong administrative and organisational skills, an eye for detail, the ability and confidence to work autonomously, have strong IT skills, and a "can do" attitude.
